Workflow management for mid-sized companies

Every workflow in view – before anything stalls.

Bricksta brings everything a customer order, a complaint or an onboarding needs across several teams into one case. Everyone sees their next task – and you see where things stall. No email ping-pong, no status meeting.

In Bricksta, every running order is called a case.

An example

One order – from the win to the sign-off.

This is how a customer order runs with Bricksta, across several teams and the customer.

  1. 1

    Order won

Sales marks the deal as won in HubSpot. Bricksta starts the workflow on its own, without anyone writing an email.

  2. 2

    Everyone starts at once

Project management, engineering and purchasing get their tasks at the same time. Each person sees only what they have to do, and by when.

  3. 3

    The customer delivers

Plans and approval arrive through a secure link. The customer doesn't need an account.

  4. 4

    Bricksta warns in time

The material is running late. Bricksta flags the order as at risk before the installation date slips and notifies project management.

  5. 5

    Signed off, all on record

The customer signs off. Who did what and when is fully on record, no chasing needed.

1 · For everyone who leads

You see where things stall – without asking.

The status of every workflow is visible at any time. Risks show up before they reach the customer.

  • All running workflows at a glance

Every case with traffic light, due date and delay in one view, across different workflows too.

  • Early warning

At-risk and stalled cases stand out before a deadline slips, and the people responsible are notified.

  • Due dates and escalation

Due dates count in working days. If one slips, Bricksta escalates step by step up the management line.

  • Real status instead of status meetings

You see actual progress, not the version pieced together in a meeting.

  • Process map

A map shows where each workflow stands right now and how they connect.

  • Complete record

Every step, assignment and status is on record: who, what, when.

2 · For everyone who does the work

Everyone knows what to do next.

No digging through the inbox, no asking whose turn it is. Your own work sits in one list, as simple as a to-do list.

  • One list with your own work

Everyone sees only the tasks currently with them, with due date and everything they need.

  • Fill in, submit, move on

Each task holds exactly the fields the next step needs. Once it's done, the next person gets theirs automatically.

  • Email reminders

Bricksta reminds people of open tasks so nothing gets left behind.

  • Customers and suppliers via link

External people complete their step through a secure link, no account needed. Or in the customer portal with your logo and colour.

  • On your phone too

Complete tasks and check the status, on the go too.

  • Cover during absence

Whoever is away enters a stand-in. New tasks go there automatically, open ones can be handed over deliberately.

Build and change workflows – in your own words.

No coding and no IT project. AI drafts it, a person reviews and publishes.

AI in the workflow, under control

Your team gets reinforcement – that only does what you allow.

AI teammates have a name, a profile and a fixed responsibility. They take on routine tasks in the workflow, and the history always shows whether a person or the AI acted.

  • Tightly scoped permissions

Start, fill in, complete – nothing more. You unlock every further capability one by one.

  • Its own budget

Every profile has a budget, and under “Runs & costs” you see every run.

  • You decide on approvals

Where a person has to confirm is up to you. Not the AI teammate.

No coding, no IT project: your team builds, and AI turns an existing document into the first draft.

Your first process: Monday start, Friday live.

Rolling out workflow or industry software usually takes three to six months. With Bricksta, your first process runs after five working days: Monday start, Friday live. Live means: from then on, your team handles real orders in the new process.

¹ A conservative estimate: process software typically takes 3 to 6 months with ready-made templates and 9 to 18 months as a toolkit (KMWorld). The five working days start on the agreed project start date and apply to a clearly scoped first process your team takes part in.

Nobody copies from one tool to another anymore.

Your systems stay. Bricksta passes the work between them.

Frequently asked questions

How is Bricksta billed?

There are two pricing models: by the size of your company or per user. The details are on the pricing page. Go to pricing

How long does rollout take?

Your first workflow is live in five working days: get to know each other, create the template, adjust, test, go live. The days count from the jointly agreed start, for a clearly scoped first workflow and with your participation.

Who builds the workflows – do we need IT?

No. Your team builds and changes the workflows itself, without coding. AI turns a description or an existing document into a first draft that you review and approve.

Does Bricksta replace our ERP or CRM?

No. Bricksta passes the work between your systems and the people. Ready-made connections exist today for HubSpot, Pipedrive, Jira, Outlook and Microsoft Teams. There is no ready-made SAP connector yet.

Does Bricksta work on a phone?

Yes. Completing tasks, viewing cases, editing templates and administration all work on a phone, for guests and in the customer portal too.

Where is our data stored?

Database and servers are located in Frankfurt am Main. Bricksta is a German company governed by German and European law.

Can customers and suppliers take part?

Yes. They complete their step through a secure link that expires on its own, without any account. Or they follow their cases in the customer portal with your logo and colour.
