Cases & Tasks

Creating a case

A case always comes from a template. You pick it in the create case window, fill in what the template asks for when creating, and start the case.

How to: Create a case from a template

  1. 1Click “Create case” under Cases, on My Work or in Templates. The create case window opens on the right; the list underneath stays where it is.
  2. 2Pick the template — with search, “Recently used” and groups by category. Once you pick one, the window shows the start form.
  3. 3Under “Case details”, fill in what the template asks for, say sponsor and packages. If the template has a title pattern, the title is built from these details.
  4. 4Click “Create and start”. Bricksta creates the tasks according to the blueprint.
  5. 5If the template comes with several workflows, you pick in the draft via “select” or “Select all” which ones the case should run, and start it via “Start case”.

The draft stays focused on one job: selecting workflows and starting the case. Files and history only appear once the case is running.

The create case window

“Create case” opens the create case window on the right — the same under Cases, on My Work and in Templates; the list underneath stays where it is. Under Cases and on My Work you first pick the template in it: the template picker offers search, “Recently used” and groups by category, and once you pick one, the start form follows. To pick a different template you close the window and open it again.

On creation Bricksta creates the tasks according to the blueprint. From that moment the case is independent: later changes to the template do not alter it retroactively; it runs with the version it was started on.

Case details

If the template asks for details when creating a case, they appear in the window under “Case details” — say sponsor and packages. If the case doesn't start right away, you enter the details later in the task.

The title from the title pattern

If the template has a title pattern with these fields, the title is built from them — also from a column of the items. Such a column only counts if its name appears just once in the template and it is visible to everyone.

“{{Congress}}”The different congresses of all rows, separated by “ | ”; the same one appears only once.
“Offer congress {{Congress}}: {{Service}}”“Offer congress ESMO 2027: Oncowissen TV | QA&more”

The name sits below the details as a highlighted line and fills in with the title the case will get as you go. “Change” lets you set a name of your own instead.

You type nothing under “Change”.The field keeps following the details, say another quote item.
You change the details after typing a name of your own.The new title shows below with “Use this”.
You empty your own name again. The title from the details applies.
You create the case. What you entered is already in the first task.

Several workflows in the draft

If the template comes with several workflows, you first decide in the draft which of them this case should run — each one via “select” or all at once via “Select all” at the top right of the section. Then you start the case via “Start case”.

Special cases in the create sheet on a phone

On a phone the create case sheet shows above its buttons when something stands in the way of creating or the template has an open draft.

A required detail is missing.“Still missing” names it above the buttons.“Create and start” waits until the detail is there.
The template has unpublished changes. The case is created from the last published version.Anyone allowed to manage templates finds the link “Publish draft …” next to it.
You choose “Publish draft …”.The list of changes appears first, in the same window.“Publish and create” then publishes and creates; “Back” returns with all your entries.
The template has never been published. Both buttons lead to the step with the list of changes.“Publish and create” or “Back”, as above.
