How to assign a mail
- 1Open My Work. New mails appear at the top in the card “Assign mails”.
- 2Look at the suggestion. Below it you see why Bricksta chose it, for example “Subject mentions contract”.
- 3Click “Assign to #…”. The attachment is then among the case's files, and the history notes the mail.
- 4If the suggestion does not fit, click “Other case …” and search for the case by number or title.
- 5If the mail belongs nowhere, click “Discard”.
After the click you have a few seconds to “Undo”. If two cases fit equally well, Bricksta preselects nothing — you decide. If the sender is not verified (the sender address may be forged), this is shown in yellow next to the mail.
Who sees the mail
The mail goes to the person the suggested case is assigned to. If there is no suggestion or nobody is assigned, the role set on the mailbox sees it. Without a role, the people who manage mailboxes see it.
Setting up a mailbox
- 1Open Automation → Mailboxes and create a mailbox.
- 2Copy the address and give it to the sender, or forward mails to it.
- 3Choose the templates whose cases may be suggested.
- 4Choose the role that confirms when a case is not assigned to anyone.
- 5Set how long unassigned mails are kept.
Attachments are checked: only PDF, images and Office files are taken over. Anything too large or not delivered is shown next to the mail — nothing gets lost silently. Unassigned mails are deleted after the retention period.
Setting up mailboxes requires the permission “Manage mailboxes” (mailbox.manage). Anyone who knows the address can send mails to it — renew it if it has fallen into the wrong hands. The old address then keeps accepting mails for 14 days.
