Absence and stand-in

Before you go on vacation or when someone falls ill, you settle here who stands in and which open tasks go where. Bricksta does not ask for the reason of an absence and shows it to nobody.

How it works

  1. 1Open Settings › Absence & stand-in and choose “Enter absence”.
  2. 2Choose the stand-in (required, active people only, no agents) and the period. If “Until” stays empty, the end is open.
  3. 3Under “Hand over open tasks”, choose what the stand-in gets. Filters by case, template or due date help; “Select all” applies to what the filter shows.
  4. 4Save. If the stand-in applies immediately, the selected tasks go along right away; otherwise it waits for your manager's confirmation.
  5. 5The result says honestly how many tasks were handed over and why some stay with you.

Who confirms

If you enter it yourself, your manager (or someone with “Manage personnel data”) has to confirm — never the stand-in. They see the request in the bell and as a card in My work and can confirm or decline. If your manager or someone with “Manage personnel data” enters it for you, it applies immediately. If nobody can confirm, the dialog says so: “Nobody can confirm.”

States in the member list

absent · stand-in BenThe stand-in applies today.
stand-in from …Confirmed, starts later.
stand-in unconfirmedEntered, confirmation still missing.
stand-in unreachableThe stand-in is no longer an active member — please enter another one.

Managers and people with “Manage personnel data” see these badges under Organization › Members & rights and can enter an absence in a person's detail themselves, for example an illness with an open end.

Ending and returning

You can end your stand-in at any time. Whoever stands in finds the person in Settings under “You stand in for” and can return the stand-in; the manager is informed. Tasks already handed over stay with the stand-in in both cases until someone passes them on.

Company settings

Under Organization › Calendar › Stand-in an admin sets three switches, all on at first: whether new tasks go to the stand-in automatically, whether the stand-in may approve, and whether the manager has to confirm a self-entered stand-in. Every change is recorded in the organization's history.
