Digitalization assistant: your first template in a few questions

You don't need to be a process expert to get a good template. The assistant asks you step by step how a process works at your company — who takes part, what happens, who approves and by when. Bricksta builds the template from your answers. Afterwards you see exactly what was built and release it to your team.

How to start the assistant

  1. 1Open “My work”. In the “Getting started” card, click “Start” next to “Create a template”.
  2. 2Or open “Templates”, click “Create template” and choose “With the assistant”.
  3. 3Both work on a phone too.

You only see the assistant if you may edit templates. If you lack that permission, ask your admins.

To start, the assistant asks where you work — this is optional. It then shows you an example from your area of what you will end up with: a template with its steps and roles, and a case based on it. It carries the area you picked over into question 1.

The questions

There are seven short questions; an eighth is added only when someone from outside takes part, for example your customer. Many questions are already filled in — you only remove, add and sort.

  • What does your company do, in one sentence? The AI suggests fitting processes from it. You can also skip this question.
  • Which process do you want to digitalize first? You pick a suggestion, one of five proven processes (for example a leave request or an incoming invoice) or “Something else”.
  • How does it start, and when is it done? Here you also set when a process can end early.
  • Who takes part? These are roles such as “Accounting”, not individual people. People from outside belong here too.
  • Which steps belong to it, and who does what? With “Something else” you name the steps that must happen in any case — the AI groups them into phases and adds what is missing.
  • Where is an approval needed? For example: management only approves above a certain amount.
  • By when must what be done? Deadlines can be in days, working days or weeks, also relative to a date such as the first working day.
  • Only with people from outside: what do they do via their link? For example upload documents, confirm something or see how far the case is.

Not sure about something? Choose “I don't know” — Bricksta suggests something and you can adjust it later. Every answer is saved right away. With “Continue later” you stop and pick up exactly where you left off later, even on another device: the “Getting started” card shows where you are.

Summary and building

After the last question you see everything at a glance. “Change” takes you to a question and straight back. If everything fits, click “Build template”.

  • The questions are free. Only “Build template” counts as one of your monthly AI generations — for the whole organization. How many are left is shown on the first page and next to the button. If you need more, your admins request them from Bricksta; the assistant tells you who that is at your company.
  • Building takes about a minute. Keep the page open meanwhile.
  • If building was interrupted, “Getting started” shows “Build running”. “Open build” and “Continue building” continue exactly this build — without another AI generation.

If no AI generation is left this month, the assistant tells you right at the start. You can still answer the questions and have the template built next month, or create it without questions using “Create it yourself”.

Check and publish

After building, Bricksta shows you the finished template before anyone works with it. Nobody can see it yet.

  • The check names what is still missing. You must fix errors before you can publish; you may leave notes as they are. “Edit in detail” opens the template right at that spot.
  • “How the template is built” shows phases, steps, approvals, deadlines and fields. What the AI added or chose is marked.
  • Under “Who takes which role?” you decide who takes a role: specific people, yourself, someone chosen in each case, or a person you invite later.
  • “Publish” releases the template to your team. Afterwards you can get going right away with “Start the first case” or tackle the next process with “Another template with the assistant”.

As soon as the built template is published — by you or by someone else — “Create a template” is checked off in your “Getting started”.

Changing answers after building

  • If you changed nothing, “To the built template” takes you back — without a new AI generation.
  • If you changed something, the assistant tells you what. You can “Build again” (counts as an AI generation) or go back free of charge with “Discard changes, go to the built template”.
  • If you already edited or published the built template by hand, “Build again” creates a second template. Your existing one stays.
  • Small corrections are easiest directly in the template via “Edit in detail” — that costs nothing.
